  • Summary

    Under minimal supervision and according to established policies and procedures, manages Secretarial, Reception and Document Processing Departments in a 24/7 environment. Fosters a positive environment for continuous improvement of departmental services and promotes the highest standards for staff performance and service delivery. Manages resources, budget, performance and utilization.

    Essential Duties and Responsibilities


    • Responsible for managing the overall Secretarial, Reception and Document Processing functions, and the respective departmental managers.
    • Possesses a solid understanding of all aspects of services provided in the Secretarial, Reception and Document Processing Departments, ensuring staff has the ability to complete all tasks effectively.
    • Maintains frequent contact with managers and staff, ensuring optimal support for attorneys and clients is provided.
    • Analyzes data and makes appropriate recommendations that are in line with Firm goals.
    • Maintains an active working relationship with oversight partner(s) to evaluate current departmental procedures, and implements changes, as appropriate.
    • Develops, implements and maintains the department’s procedures and best practices guidelines.
    • Proactively assesses business requirements to develop solutions and drives improvements across Secretarial, Reception and Document Processing Departments.
    • Maintains budgets in areas of responsibility; and manages them on a regular basis.
    • Keeps abreast of developments in legal market to ensure the departmental practices are current.
    • Conducts the performance and salary review processes and makes compensation recommendations. Collaborates with managers to conduct effective staff evaluations and provide professional support to managerial staff.
    • Effectively manages and addresses employee and performance issues to ensure optimal results.
    • Provides 24/7 coverage and support, and maintains a hands-on approach.
    • Oversees the development of team members and provides necessary training.
    • Builds and maintains a culture that motivates collaboration and a team-oriented environment.


    Knowledge, Skills, and Abilities Required

    • Excellent well-developed management and interpersonal skills.
    • Excellent leadership and organizational skills.
    • Ability to interface, develop and maintain professional relationships with attorneys and support staff.
    • Strong presentation and communication skills combined with confidence and poise.
    • Ability to positively tackle problems, provide solutions and engage with others to ensure proactive steps are taken.
    • Ability to manage multiple priorities and deadlines under time constraints.
    • Attention to detail and ability to work independently.
    • Proficiency in Microsoft Office Suite.

    Education and Experience

    • Bachelor’s degree required
    • Minimum 8 years of relevant staff management experience in Secretarial, Reception and Document Processing Departments.
    • Management experience in a law firm or professional services environment preferred.

    Working Conditions

    Normal office environment with little exposure to excessive noise, dust, temperature and the like.
